Silence Does Not Always Mean “No”
You sent a quote and got no reply. Often this is not a rejection; the message got lost in a crowded inbox, the decision was postponed, or all that is needed is a small reminder. Yet many businesses stop after a single message because follow-up needs separate time and discipline. A follow-up sequence hands that discipline over to a system.
What Is a Follow-Up Sequence?
A follow-up sequence is a chain of linked emails sent to a person in a planned number and at planned intervals. The first message goes out; after the number of days you set, if the person still has not replied, the second goes out, then the third. For anyone who replies or unsubscribes, the sequence stops by itself.
Four Traits of a Good Sequence
Spaced, not back-to-back: Leave a few business days between messages. Emails stacked on top of each other feel like pressure.
New value at every step: “Just a reminder” is not enough on its own. The second message might carry a short case example, the third an answer to a frequent question.
A clear next step: One call to action per message: schedule a call, answer a question or look at a link.
A sensible upper limit: Three to four messages are enough in most cases. An endless sequence to someone who does not reply is both ineffective and damaging to your reputation.
Stop Rules Are Part of the Sequence
The biggest risk of follow-up emails is sending a “you haven't replied” message to someone who already did. The sequence therefore has to stop automatically when a reply arrives, when the person unsubscribes or when the address bounces. The person's consent status should also be checked before every step.
Where It Works
- Follow-up after a quote
- Thank-you and next-step messages for people who attended an event or trade fair
- Welcome sequences for new customers
- Re-engaging customers you have not spoken to for a long time
How It Works in UlakPost
In UlakPost a follow-up sequence consists of steps set in days; for anyone who replies, unsubscribes or bounces, the sequence stops automatically. Messages are queued in line with the daily sending limit and the frequency rule, so follow-up runs steadily without having to remember it by hand or keep a spreadsheet.
